Billing Settings
The Billing page is your central hub for managing credits, purchasing packages, and tracking transactions. Access it from Settings → Billing.
Only organization owners can purchase credits. All members can view balance and transaction history.
Credit Balance Card
The balance card at the top shows your current credit status:
Total Credits
Your combined credit balance from all sources. The number uses color coding:
- Green — Healthy balance (over 100 credits)
- Yellow — Low balance (under 100 credits)
- Red — Critical balance (under 20 credits)
Startup Credits
New accounts receive a one-time grant of 250 free startup credits. These do not renew.
Purchased Credits
Credits you've bought through credit top-up packs or received via a Lifetime Deal.
Credits stay in your account indefinitely until used. Lifetime Deal holders receive additional credits each month automatically.

Credit Estimator
Plan your credit needs with the interactive estimator. Adjust the sliders to see real-time cost calculations.
Document Volume
Slide to estimate monthly document syncs (1-500 documents/month):
- Shows credit cost based on standard sync rate (20 credits/doc)
- Adjusts total based on enhanced sync percentage
Enhanced Sync Percentage
Estimate what portion of documents will use Enhanced (Contextual Retrieval) sync:
- 0% — All standard syncs (20 credits each)
- 50% — Half enhanced, half standard
- 100% — All enhanced syncs (40 credits each)
Storage (GiB)
Estimate your uploaded file storage (Upload connector only):
- 200 credits per GiB per month
- Does not apply to cloud sources (Google Drive, Confluence, etc.)
Calculation Summary
The estimator displays:
- Estimated credits/month — Total credits needed
- Monthly cost — Dollar equivalent ($0.01/credit)
- Recommended package — Best value package for your usage
Credit Packages
Purchase credits in packages with volume discounts:

Purchasing Process
- Click Buy on your chosen package
- Complete payment through Stripe Checkout
- Credits are added instantly upon successful payment
- Transaction appears in history below
All payments are processed through Stripe. Vector Data Loader never stores your payment information.
Transaction History
View all credit transactions for your organization with full audit details.
Transaction Types

Transaction Details
Each transaction shows:
- Date & Time — When the transaction occurred
- Type Badge — Transaction category with color coding
- Description — Details (document name, package name, etc.)
- Amount — Credits added (+green) or deducted (-red)
- Balance After — Running balance at that point
Sync Audit Metadata
For sync and re-sync transactions, additional audit details are displayed:

Additional details shown:
- Provider — Source connector (Confluence, Google Drive, S3, etc.)
- Organization — Which organization was charged
This audit trail helps you understand exactly what triggered each charge and track usage patterns across your team.
Month Navigation
- Use arrow buttons or dropdown to view previous months
- History available for the past 12 months
- Transactions are sorted newest first
Account Closure & Credit Forfeiture
Account closure is managed from Organization settings, not the Billing page. This section explains the billing implications.
Account closure is permanent after the 7-day grace period.
Important: All remaining credits (startup and purchased) are forfeited upon account closure. There are no refunds for unused credits.
