Sync Issues
Sync Issues gives you a complete view of documents needing attention. Open it from the Settings page, the Settings sidebar, or Review issues on the dashboard.
- Open Settings → Sync Issues. Use the Project picklist to choose your current project, another active project in your organization, or All projects when following an organization-wide email alert. This filter does not change the project selected in the main sidebar.
- Search document titles or use the Status picklist to filter by Failed, Needs sync, Pending, or Syncing, and the Source picklist to narrow by provider. Select a column header to sort by document, status, or last recorded sync. The list uses the same toolbar, table, mobile cards, and pagination layout as Documents. Filtering and sorting apply across every page. Counts include all matching documents in the chosen project, source, and search.
- Read the safe explanation and suggested next step. For example, a website document may say its source page returned 404 (not found). Check the source URL and restore or replace the missing page before retrying.
- Open the row's Actions menu to view document details or start Re-sync after resolving the source problem. Owners and admins can also choose Delete document and confirm permanent removal of the document and its embeddings. If the source still contains the item, a future source sync may add it again.
- Select one or more rows to reveal Re-sync N and, for owners and admins, Delete N. The header checkbox selects all rows on the current page. Bulk deletion requires confirmation. Sync N Stale queues the oldest matching stale documents in the selected project and filters, up to 20 per click. Wait for that job to finish, then click again for the next batch. Re-sync also queues no more than 20 selected documents per click.
The Documents list now shows a failed document's reason beneath its status rather than hiding it behind an icon. The document detail page labels the reason and recommended next step and offers the delete action to authorized owners and admins.
Needs sync means a document passed the configured staleness threshold; it does not mean a sync attempt failed. Pending and syncing items show whether an active document job includes them. A URL-based source queue item may not have a document job yet.
If a document says Sync interrupted, no active tracked job contains it. The system checks for abandoned syncing records every five minutes and marks them Failed after a ten-minute grace period when no active job or recent source queue attempt owns them. This does not retry automatically or use credits. Open its details to review the last recorded sync, then use Re-Sync if the source is available. A manual retry may use sync credits. An active job still blocks a duplicate retry.
The last recorded sync timestamp may include a failed attempt. The current attempt's start is tracked for recovery, but individual past attempts are not retained. The issue view shows safe categories rather than raw provider errors, which can contain private URLs or credentials.
Operational emails link to the authenticated All projects view and contain only a count, not document titles, source URLs, or raw error text.
